With restaurants, pastry shops, and its own bakery, Dudok Horeca Group employs 400 people across different sectors, each with its own collective labor agreements. “This makes our HR quite complex,” says Erwin de Bruin, Dudok’s Director of Finance & Operations.

Erwin: “We've known for a long time that good tools for HR and payroll are essential. Especially for our company, with so many employees and activities in different sectors. Where you can streamline, digitize, and even automate processes, you should.”

“We've been using Nmbrs since 2018 for our (outsourced) payroll. In 2021, we brought that in-house to fully take advantage of all the features. Since then, we’ve also been using Nmbrs for our HR services. This has given us control over HR and payroll. After that, we started using various additional HR functionalities.”

Dudok’s HR manager, Mandy Both, proudly shares how she set up 50 HR workflows: “Employees can now handle many HR tasks themselves. With the workflows, they are brought into the process at the right time. Everything runs very smoothly now. We don’t use a single Excel sheet anymore!”

“By managing all HR and payroll matters in Nmbrs, the entire employee journey has been digitized,” says Mandy. “It starts with recruitment. Having an organized, smart, and efficient recruitment process is crucial in the hospitality sector. Staff is scarce, and turnover is high. When new candidates come in, you need to act fast. Manually emailing everyone just isn’t manageable.”

Dudok uses Nmbrs Hire for this, an Applicant Tracking Software (ATS) that streamlines the workflow of all recruitment activities. You get a clear overview of each candidate’s progress, and all communication is managed directly within the software. Once a candidate is hired, they are automatically added to Nmbrs as a new employee, and the onboarding can begin.

Supporting employee development

“Due to the high staff turnover in the hospitality industry, employee engagement is especially important for us,” says Mandy. “We've noticed that engagement becomes stronger when you support employees in their personal and professional development. For this, we use Nmbrs Perform, where employees receive feedback from their colleagues and are asked to reflect at set times. This way, employees are truly involved in their own growth plan. My HR colleagues and I can also easily see how all our employees are developing and where we can support them.”

Mandy: “Recruitment, employee development, payroll – we used to manage all of this with different tools, or outsourced it. Now we do everything in-house, in one software package. This saves us a lot of time and gives us control over all HR and payroll matters.”

Erwin adds: “We started with one location in Rotterdam in 1991. Now, we have 17, with 400 employees. We want to continue growing in the Netherlands, opening two new locations each year. A strong foundation has made this possible, and Nmbrs has played a crucial role in that.”
